CLINICAL MANAGER ROLE - LEICESTERSHIRE AREA

A new opportunity has become available for a Clinical Manager to cover practices based in the Leicestershire area.

Days/hours will include Monday - Sunday, 8am-8pm. 40 hours per week.
On-call weekends (ratio to be confirmed) for all 8am-8pm practices.

To provide the highest quality support to the practice team. To provide support and team direction to team members and follow systems in place. To report to the Operations Manager. The CM will be expected to use their own initiative and carry out duties in such a way as to make a direct and positive contribution to the practice and so aid the dental staff to maximise the use of their time.

Job Objectives
-To ensure that that practice policy is followed by all dental team members at all times
-To meet productivity and profitability targets of the practice.
-Ensure the smooth running of the practice at all times.

Job Responsibilities
-Financial and business management of the practice.
-Public relations and patient management.
-Personnel Management
-Health and safety.

Financial and Business Management of the Practice
-To lead Practice Meetings on a monthly basis, raise any concerns/improvements required and follow this up. Facilitate any practice level training in agreement with Operations Manager.
-Where KPI’s apply, these must be monitored, achieved and reported to Operations Manager.
-Oversee the appointment book and ensure that the best use is made of the time available.
-Liaise between dentists, staff and patients to ensure the smooth running of the practice.
-Ensure that all monies received by the practice are banked into the business account weekly and recorded on weekly income sheet.
-Ensure that petty cash records are accurately maintained.
-Responsibility for receiving, opening and dealing with incoming post
-Carry out full reception duties as and when required.
-Ensure UDA and private targets are monitored in line with expected practice targets and in conjunction with the Operations Manager
-Ensure that FP17 forms are transmitted on a daily basis.
-To complete practice audits.
-Complete Task Manager information for Operational Manager/Directors
-Liaise with IT, Finance and Recruitment Lead as necessary and appropriate.
-Action lab bills and invoices as invoicing system
-Provide on-call duties as per rota
-To carry out stock checks and order as appropriate in line with budget and as part of stock system
-Claims management completed with Operation Manager on a regular basis

Employment and Health and Safety
-Booking servicing in line with compliance authorised by the Operations Manager
-Liaise with Operational Manager to trouble shoot repairs internally prior to authorisation of external support
-Ensure the practice security is maintained at all times.
-Maintain a log of all keys and to whom they have been issued. Ensure duplicate sets are kept in the safe. To make the Operational Manager aware and ensure they also have a set of keys.
-Ensure fire procedures are carried out by all staff.
-Comply with CQC regulations, HTM01-05 and GDC standards. Health and Safety at work act

Personnel Management
-Lead by example and motivate all the staff to work as a team and in accordance with the policies of the practice.
-Arrange induction training for a new team member and on-going training for the existing team.
-Set up and maintain personnel files.
-Monitor and record holiday and sickness time by creating weekly rotas for the practice. Internal sickness/holiday cover to be arranged internally. If external sickness cover/holiday cover is required, Operations Manager must be contacted to arrange this.
-Carry out staff appraisals in conjunction with the Operation Manager and ensure that the results of the appraisals are assessed and followed through.
-Ensure that adequate levels of staff are available at all times, any over staffing should be distributed through liaison with the Operational Manager.
-Ensure that staff adhere to the practice dress code.
-Organise and chair regular practice meetings including the provision of agenda and distribution of minutes.
-Monitor all staff attendance and ensure there is no abuse to the signing in system.
-Liaise with Operational Manager to ensure all staff are fully trained in all mandatory procedures i.e. CPR, manual handling and fire safety.
-Ensure staff records are kept up to date.
-Create and submit payroll information on a monthly basis.
-Identify any staff issues and raise with Operational Manager to support apprentice/trainee dental nurses in line with their relevant training provider and frameworks
-To support apprentice/trainee dental nurses in line with their relevant training provider and frameworks.
-To monitor team members performances and feedback to Operations Manager.

Contribution to the Implementation of Services
-Apply Practice policies, standards and guidance
-Discuss with other members of the team how the policies, standards and guidelines will affect own work
-Participate in audit where appropriate

Communication
-Communicate effectively with other team members
-Communicate effectively with patients and carers
-Recognize people’s needs for alternative methods of communication and respond accordingly

Quality
-Alert other team members to issues of quality and risk
-Assess own performance and take accountability for own actions, either directly or under supervision
-Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance
-Work effectively with individuals in other agencies to meet patients needs
-Effectively manage own time, workload and resources


Salary is dependent on experience and to be discussed further at interview stage.
